Event FAQs

Don’t see the answer to your question? Contact Events Coordinator, Dana Shive, at dpshive@PAcollege.edu or call (717) 947-6304.

What is the earliest or the latest I can access event space?

Events may be held between the hours of 8 a.m. and 10 p.m. Client set-up and tear down must be included in these hours. Exceptions to these hours must be approved by the Events Coordinator.

Can I serve alcohol at my event?

Our onsite catering server, Canteen, does not provide alcohol for events. Hosting organizations are welcome to provide beer and wine for events in an open-bar format or with pre-distributed drink tickets. Beer and wine must be provided by the hosting organization or an approved vendor and served by RAMP-certified bartenders scheduled through Canteen or an approved vendor.

Do you offer A/V support for events?

Because of the user-friendly nature of our event spaces, hosting organizations are expected to operate all A/V equipment. Each space includes detailed instructions for operating the A/V equipment within that space, as well as information on connecting to the Wi-Fi network. If you run into an issue, you can contact the Events Coordinator for basic troubleshooting. If your event requires advanced levels of A/V support, the Events Coordinator can help schedule a dedicated A/V technician at an additional charge. Learn more about our A/V capabilities.

When should event details be finalized?

All event details should be finalized and submitted to the Events Coordinator at least three weeks prior to the start of your event. Final headcounts should be provided at least ten days in advance. While we will make every effort to accommodate last-minute adjustments, we cannot guarantee any requests made after these deadlines.

Are there taxes or additional fees on event charges?

All event charges are subject to 6 percent Pennsylvania state sales tax and 20 percent service charge. A Pennsylvania tax exempt certification from the hosting organization of the event must be presented prior to an event for sales tax not to be charged.

What is the policy for PA College delays and cancellations?

If PA College is delayed or closed due to inclement weather or other emergency reasons, all scheduled events on that date will follow suit. Contracted events will be notified of delay or closure by the Events Coordinator. PA College delays and closings will also be noted on our website and main phone line, (717) 947-6000; and through WGAL no later than 5:30 a.m. on the date of event. The Events Coordinator will work with clients to select an alternative date to reschedule cancelled events. If an event is scheduled on a date that the College is delayed, the event will only be delayed if the scheduled start time of the event is during the delayed time period. Otherwise, the event will begin at its regularly scheduled time.

What parking is available for event guests?

PA College has several parking lots on campus shared between students, faculty, staff and guests. Specific parking areas will be determined during your event planning. The Events Coordinator will provide a parking map to be shared with all event guests prior to an event. “Event Parking” signs can also be placed in the parking lot upon request.
